Description of primary duties and responsibilities:
Primary Purpose of the Organizational Unit:
The Assistant Vice Chancellor for Special Events will develop and supervise a campus-wide facilities-use mechanism that allows university students and employees to use its resources and facilities as available. The Assistant Vice Chancellor shall co-lead the Events Council and other major annual events, including, but not limited to, the Homecoming Committee, Commencement, and Convocation, and be responsible for all events held in the Chancellor's residence and Chancellor's Box.

Primary Purpose of the Position:
The Assistant Vice Chancellor for Special Events will serve as the centralized manager for university-wide events (e.g., homecoming, athletic events (Chancellor's Box), commencement, convocation, and signature events) and coordinate events with respective campus planning committees. The Assistant VC for Special Events will also support departments with event consultation and guidance and serve as the Events Council co-chair.
Description of Work Continued:
Coordination and Logistics (40%):
  • The Assistant Vice Chancellor for Special Events will serve as the primary manager for event coordination on campus, leading/co-chairing the Events Council group and working directly with logistical teams, including dining services, facilities, police and parking, building managers, and external vendors.
  • The Assistant Vice Chancellor for Special Events will ensure the protection of the university brand and Identity, maintain the University's Brand/Style Guide Handbook, and follow all university policies in support of events.
  • The Assistant VC for Special Events will implement and manage a campus-wide system for event planning and coordination, working with key campus partners.

Event Management/Planning (40%):
  • The Assistant Vice Chancellor for Special Events will have responsibility for the planning and implementation of strategic event coordination that represents the overall mission and vision of the University, the Chancellor's Office signature events, and provide support for departments, as needed. This role will work across university departments to effectively plan and execute events and work in coordination with the sponsoring department/division and the Office of Strategic Communication.
  • The Assistant Vice Chancellor for Special Events will be responsible for the conception, planning, and implementation of events and activities involving the university and its programs.
  • The Assistant Vice Chancellor will also consult with various departments and programs to formulate event plans and campaigns.

Administrative (20%):
  • The Assistant Vice Chancellor for Special Events shall have responsibility for processing major event work orders, quotes and invoices, and related contracts.
  • This role will also require coordination with other university events, in collaboration with departments, as needed.
  • Complete post-event tasks to include evaluation and follow-up with client on meeting results
  • Work with university staff to identify and build audiences for convening activities.
  • Participating in regular Planning Meetings, reviewing event details, answering staff members' questions, and discussing relevant logistical matters.
  • Anticipate, develop, and implement contingency plans for events/activities.
  • Assess client needs and expectations; recommend production elements and budget expenditures to ensure clear program goals and objectives.
  • Supervises events volunteers in the coordination of a wide range of services for meetings, including Audio Visual requirements, food and beverage requests, conference room setups
  • Acts as production manager and on-site coordinator for events
  • Drive budget development, tracking, and reconciliation of all meeting expenses.
Minimum Education And Experience Requirements:
Bachelor's degree and a minimum of five years in public relations, special events coordination, and other communications-related events; successful results- oriented track record in marketing and events planning and management.
