Job Summary

The Facilities Coordinator is responsible for managing day-to-day facility operations for the Corporate Headquarters location. This position serves as a member of the Business Excellence team and is responsible to ensure the smooth running of the facilities to help maintain the corporate offices for both customers and employees to promote helpful, efficient, and a pleasant environment. This is a full-time, non-exempt position reporting to the Global Director, Business Excellence & IRX. To be successful in this role, you should be well organized and able to prioritize multiple issues. You should also have good knowledge of basic office equipment.

Responsibilities

  • Restock office and kitchen supplies
  • Fix minor malfunctions in office equipment
  • Check rooms and furniture to identify needs for repairs or renovations
  • Coordinate seating arrangements
  • Collaborate with building management to address maintenance issues and ensure a presentable working environment
  • Liaise with facility management vendors including but not limited to Da Vinci, Iron Mountain, Xerox, FedEx, Canteen, Cintas, MSC, as well as cleaning and catering suppliers
  • Ensure that all items are invoiced and paid on time and maintain an updated record of invoices from external partners (P-Card, purchase orders and invoices processing)
  • Keep track of regular and ad-hoc facility expenses
  • Ensure compliance with health and safety regulations
  • Managing equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment and supplies, and climate control.
  • Undertake special projects and assignments as directed by management
  • Serve as the point person for any duties related to:
    • Mailing
    • Office Supplies
    • Office Equipment
    • Maintenance
    • Visitors Log
    • Seating arrangements
    • Badge management
    • Maintain the office condition and arrange necessary repairs
    • Provide general support to visitors
    • Address employee's queries regarding facilities issues (e.g. visitors, repairs, badge requests, office supplies, shipments/packages)
    • Manage storage rooms in corporate office
    • Undertake special projects and assignments as directed by management

Basic Qualifications

  • Work experience as a Facilities Coordinator or similar role
  • Strong knowledge of facilities management operations
  • Familiarity with office equipment
  • Understanding of safety regulations in offices
  • Ability to effectively communicate both verbally and in writing
  • Proficiency in Microsoft Office software to include Word, Excel, PowerPoint
  • Ability to establish and maintain professional working relationships with employees, suppliers, customers
  • Proven ability to work as a team member, but also make effective independent decisions and follow through on assignments
  • Bachelor's or associate degree
  • A minimum of 2 years of experience in facility coordination or real estate
