Job Description

Davidson College is seeking a Manager for its CatCard Services Office. As a part of Davidson College Auxiliary Services, The CatCard Services Office manages the full range of services and benefits associated with the campus ID Card (The CatCard) including providing access to virtually all buildings on campus, providing a platform for student meal plan activity, and providing an internal purchasing system for students and employees. A successful candidate will have be comfortable learning new software, possess the ability to master the fundamental logic governing a system, and will be experienced in Microsoft Excel. While no formal accounting training is required, the manager will spend considerable time in financial spreadsheets and posting credits and debits to the college enterprise financial recordkeeping system, Banner. Duties / Responsibilities:

Manage CatCard financial software system processes and procedures which include:

  • Creating and managing meal plans for a variety of applications.
  • Working with the Technology and Information Department to migrate data from the college enterprise management system (Banner) into the CatCard System (Atrium).
  • Reconciling on a monthly basis all CatCard financial activity, providing a summary report to Business Services resulting in the accurate transfer of system funds to those departments executing the transactions.
  • Managing the departmental budget for CatCard Services.
  • Working with off-campus merchant partners to reconcile CatCard activity and bill for commissions.

Manage card swipe/tap access for all campus facilities. This includes:

  • Fielding and fulfilling requests from departments campus-wide for opening and closing schedules of rooms and buildings for special events.
  • Monitoring and maintaining the standing schedule for openings and closings of buildings throughout the year.
  • Creating special rules for students enrolled in classes that meet in card-swipe/tap managed classrooms (typically labs).
  • Working with the Summer Programs Office for special schedules and card access rules for conference and camp groups utilizing campus facilities.
  • Maintaining current records of cardholders by collaborating with Human Resources and the Registrar's Office.

Provide support to all campus departments and off-campus CatCard locations including:

  • Configuring card reader terminals to accurately accept payment and distribute payments to the proper account
  • Trouble-shooting technical and operational problems with card-readers, Point-of-sale devices (cash registers), receipt printers, and system communications.
  • Ordering and setting up equipment for new OneCard customers, establishing general ledger accounts and bill types for their activity. Training card reader operators in proper procedures.
  • Working with our system vendor, Atrium, to address necessary fixes to the software and hardware.

Supervise the CatCard Services Assistant, whose work includes production of all ID cards for all students and employees, as well as bulk ID card production for the first-year class, special groups, and summer conferences.

Handle e-mail and phone communication with individual customers on issues including meal plan activity, deposit assistance, and policy sharing.

Minimum Qualifications:
A Bachelor's degree or extensive administrative responsibility for a multi-faceted ID card system in a higher ed or corporate setting is required. Candidates must also have experience with software systems and/or databases.

Preferred Qualifications:
No formal accounting training is required, but experience and comfort with financial spreadsheets is highly preferred.

Knowledge, Skills, & Training:
The successful candidate should be proficient in the excel spreadsheet environment. Strong communication skills are needed for effective supervision of employees, providing support and training to employees in other departments, working with third party contractors and off-campus businesses that participate in the CatCard system, and for communicating to students and families.
