Position Summary
The Renaissance Computing Institute (RENCI) at the University of North Carolina Chapel Hill is seeking a Research Project and Event Coordinator to report to its Research Project Management Office (RPMO). This position will be responsible for coordinating one or more research and team science projects and provide support for RENCI outreach and engagement.

Incumbent will work as part of highly collaborative project team(s), and will:

Provide project coordination, including planning, internal communications, milestone tracking, problem identification and solving, as well as information gathering and report drafting.
Assist with budget tracking, scheduling and reporting. Ensure effective use of selected project management tool/s.
Plan and execute outreach activities, including external communications, presentations and meetings materials. Incumbent will work closely with the RENCI Communication team on these tasks.
Manage day-to-day operations for assigned projects, including scheduling and running meetings, taking notes, capturing action items and decisions, communicating with all teams, maintaining project boards and follow up.
Provide support for RENCI proposal development efforts including identification of requirements, gathering and tracking of materials, and preparation of final documents.
Recognize areas for internal improvement and develop plans for implementing updated or new processes and methods to facilitate desired project outcomes.

Incumbent will have primary responsibility for planning and coordinating all major activities for
assigned projects, including regular training events, workshops, webinars, and annual or semi-annual meetings. Tasks include:

* Planning in-person, virtual, and hybrid events.
* Monitoring the planning and execution of project activities to ensure adherence to budget,
schedule, reporting, and scope.
* Organizing and developing agendas, schedules, and presentations.
* Handling communications related to the event.
* Coordinating participants, speakers, logistics, etc.
* Acting as the primary liaison for communication with hotels, transportation providers, caterers, and other services as needed.


Incumbent should be a highly motivated, detail-oriented team player, and demonstrated problem solver with a proven ability to make decisions. As a member of the RPMO, the incumbent will also work with teammates on RENCI internal projects and activities, identify and resolve problems, and contribute to internal process improvement. Must be available for travel associated with projects.
Minimum Education and Experience Requirements
Relevant post-Baccalaureate degree required (or foreign degree equivalent); for candidates demonstrating comparable independent research productivity or professional-level background in sponsored research administration, will accept a relevant Bachelor's degree (or foreign degree equivalent) and 3 or more years of relevant experience in substitution.

Project planning and coordination:
* Excellent attention to detail;
* Excellent organizational and multitasking skills;
* Familiarity with contracts language and negotiation techniques;
* Ability to comprehend, develop, and adhere to project budgets
* Ability to coordinate multiple projects simultaneously;
* Ability to track tasks, and ensure timely progress of the project through completion;
* Ability to gather data and draft reports as needed;
* Ability to collaborate with other teams as needed;
* Demonstrated experience with project coordination including event coordination required;


Outreach and Communication:
* Available for occasional travel related to assigned project(s);
* Efficient engagement of all project stakeholders to facilitate project outcomes;
* Ability to edit and analyze informational materials or content;
* Excellent communication skills (written and verbal);

Interpersonal
* Ability to establish and maintain a variety of positive and constructive working relationships;
* Ability to understand internal workings of the department relative to external expectations of clients and stakeholders.
* Ability to adapt to changing requirements

Technical:
* Familiarity with a range of teleconference and other communication tools, particularly online tools including Zoom;
* Familiarity with general office productivity tools, such as Microsoft PowerPoint, Word, Excel; Google Docs, Google Sheets, Google Slides; Smartsheets
* Familiarity with selected project management tools, e.g. Monday.com, MS Access, Asana, other.
Preferred Qualifications, Competencies, and Experience
* Prefer three years' experience in project management and/or program coordination and organization.
* Working knowledge of federal funding mechanisms and reporting requirements is a plus.
